Cricket Copilot — Terms of Service

These Terms of Service (“Terms”) are a legal agreement between you (“you”, “the Coach”) and Cricket Copilot (“we”, “us”, “Cricket Copilot”) governing your use of the Cricket Copilot website at www.cricketcopilot.com (the “Service”).

By creating an account or using the Service, you confirm that you have read, understood and agree to these Terms and to our Privacy Policy. If you do not agree, do not use the Service.

1. Who Can Use Cricket Copilot

  • You must be at least 18 years old and able to enter into a binding contract.
  • You are signing up as a coach or club official to manage your own clients and/or players within a club or school you coach.
  • You are responsible for keeping your login details secure and for all activity under your account, and you agree to notify us promptly of any unauthorised use. We are not liable for loss arising from unauthorised use of your account.
  • You must provide accurate information and keep it up to date.

2. Player Data and Your Responsibilities

Cricket Copilot lets you record attendance, notes from player interactions, and basic skill information about players. Players may include children (junior players) under 18 years of age.

  • Permission. You confirm that you have the right to input any player information you add, and that, for any junior player, you have permission from a parent or guardian to record their information.
  • Only what’s needed. You agree to record only information that is reasonably necessary for coaching and squad management, and to take particular care with information about junior players.
  • Your duties. You are responsible for the player information you enter and for using it lawfully, appropriately, and in line with any safeguarding duties and club policies (including any image-use or child-protection policies) that apply to you or your club.
  • Parents’ rights. A parent or guardian may ask to review, correct or delete a junior player’s information at any time. You agree to action reasonable requests, and they may also contact us at contact@cricketcopilot.com to assist and action valid deletion requests within 30 days.
  • Privacy. Our handling of this information is described in our Privacy Policy, which forms part of these Terms.
  • Licence. You grant us a limited licence to store and process the information you input solely to provide the Service to you (including, where you request it, sending relevant details to our AI provider to generate suggestions — see clause 4).

3. The Service

Cricket Copilot provides tools to help coaches manage a squad — including player records, a conversation log, a live net-session runner, a season/session planner, and AI-assisted features. We may add, change, or remove features, and we may update or improve the Service at any time. We aim to keep the Service available but do not guarantee it will be uninterrupted or error-free.

4. Artificial Intelligence Features — Important Limitations

Some features of Cricket Copilot use artificial intelligence (“AI”) to generate content — for example, conversation starters, note tidying and summaries, session-preparation suggestions, and net-balancing recommendations. Please read this clause carefully.

  • AI can be wrong. AI-generated content is produced automatically by third-party AI models. It can be inaccurate, incomplete, outdated, biased, or entirely fabricated — AI systems are known to “hallucinate”, meaning they can produce content that sounds confident and plausible but is false or misleading.
  • Suggestions only — never instructions. All AI output is provided for your consideration only. It is not advice, direction, or a recommendation you should follow without thought, and it is not professional advice of any kind — including coaching, medical, health, safeguarding, welfare, psychological, legal or safety advice.
  • You must use your own judgement. You are solely responsible for reviewing, verifying and deciding whether to act on any AI output. Any decision you make, and any action you take, is your own — not ours and not the AI’s. Do not rely on AI output for anything important without checking it yourself.
  • No warranty and no liability for AI output. To the maximum extent permitted by law, we make no representation or warranty that AI-generated content is accurate, reliable, complete or fit for any purpose, and we accept no liability for any loss or harm arising from your use of, or reliance on, AI-generated content. AI features are provided “as is”.
  • Don’t misuse it. You should not enter information into AI features that you are not permitted to share, and you should apply particular care with any information relating to the personal welfare of your players, especially children.

By using the AI features, you acknowledge and accept these limitations.

5. Subscriptions, Trials and Payment

  • Cricket Copilot is offered on a subscription basis. Current plans and prices are shown at www.cricketcopilot.com/pricing.
  • We offer a 14-day free trial for our paid tiers. At the end of the trial, access will be paused unless you subscribe.
  • Payments are processed by Stripe; by subscribing you also agree to Stripe’s terms. We do not see or store your full card details.
  • Subscriptions renew automatically for each billing period until you cancel. You can cancel at any time from your account; access will continue for the remainder of the billing period.
  • Refunds: Except where required by law, payments are non-refundable. Users will retain access to the platform for the remainder of the subscription period.
  • We may change prices with at least 30 days’ notice; changes apply from your next renewal.

6. Acceptable Use

You agree not to:

  • use the Service for any unlawful, harmful, or fraudulent purpose;
  • upload content that is unlawful, abusive, or infringes anyone’s rights;
  • attempt to access, disrupt, copy, reverse-engineer or damage the Service or its security;
  • introduce viruses or malicious code;
  • resell or provide the Service to others except as permitted, or share your account; or
  • use the Service in any way that breaches your safeguarding responsibilities or any applicable law.

We may suspend or terminate your account if you breach these Terms.

7. Intellectual Property

We (and our licensors) own the Cricket Copilot name, software, design and content. We grant you a limited, non-exclusive, non-transferable licence to use the Service while your account is active. You retain ownership of the information you input; you are responsible for keeping your own records where you need them.

8. Third-Party Services

The Service relies on third parties (for example, our hosting/database provider, Stripe for payments, and our AI provider). We are not responsible for the acts, omissions, availability or content of third parties, and their terms may also apply to you.

9. Disclaimers

To the maximum extent permitted by law, the Service is provided “as is” and “as available”, without warranties of any kind, whether express or implied. We do not warrant that the Service will be uninterrupted, secure, error-free, or that it will meet your requirements. We are not liable for the Service being temporarily unavailable due to technical issues beyond our reasonable control. Nothing in these Terms excludes or limits any rights you have that cannot be excluded or limited under applicable law (including consumer-protection law).

10. Limitation of Liability

To the maximum extent permitted by law:

  • We are not liable for any indirect, incidental, special or consequential loss, or for any loss of data, profits, goodwill or opportunity.
  • We are not liable for any loss or harm arising from your use of, or reliance on, AI-generated content, player information you enter, or decisions you make using the Service (see clause 4).
  • Our total liability to you for any claim arising out of or relating to the Service is limited to the total amount you paid us in the 12 months before the event giving rise to the claim.
  • Nothing in these Terms limits liability that cannot be limited by law — for example liability for death or personal injury caused by negligence, for fraud, or for your non-excludable rights under consumer law.

11. Indemnity

You agree to indemnify and hold us harmless from any claims, losses or costs (including reasonable legal fees) arising from your use of the Service, the information you input (including player and junior-player data), or your breach of these Terms or of any law.

12. Suspension and Termination

You may stop using the Service and close your account at any time. We may suspend or end your access if you breach these Terms, if required by law, or if we discontinue the Service. On termination, your right to use the Service ends; clauses that by their nature should survive (including 2, 4, 7, 9, 10, 11 and 14) will continue to apply.

13. Changes to These Terms

We may update these Terms from time to time. If we make significant changes, we will let you know (by email or via the platform) and, where required, ask you to accept the updated Terms. Continuing to use the Service after changes take effect means you accept them.

14. General Legal Terms

  • Severability. If any provision of these Terms is found to be invalid or unenforceable, it will be replaced by a valid provision that most closely reflects its intent, and the remaining provisions will stay in full effect.
  • No waiver. If we do not enforce a right or provision, that is not a waiver of it, and we may still enforce it later.
  • Assignment. We may transfer or assign these Terms (in whole or part) to another party, for example as part of a business sale. You may not transfer or assign your account or these Terms to anyone else without our written consent.
  • Business transfer / change of ownership. If Cricket Copilot (or substantially all of its assets) is sold, merged or acquired, your account and data may be transferred as part of that transaction, and the new owner will be bound by these Terms and the Privacy Policy (or equivalent).
  • Time limit for claims. To the extent permitted by law, any claim relating to the Service must be brought within 6 months of the event giving rise to it; after that it is permanently barred. This does not affect any rights you have that cannot be limited under applicable law.
  • Disclosure required by law. You agree that we may preserve or disclose information where we reasonably believe it is necessary to comply with the law or legal process, to enforce these Terms, or to protect the rights, property or safety of Cricket Copilot, our users, or others.
  • Entire agreement. These Terms and the Privacy Policy are the entire agreement between you and us regarding the Service and replace any earlier agreements on the same subject.

15. Governing Law

These Terms are governed by the laws of Victoria, Australia, and the courts of Victoria will have jurisdiction, without affecting any mandatory consumer rights you have where you live.
