Help & Getting Started

Everything you need to run Cricket Copilot - written in plain English. No tech skills required. If you can send a text message, you can do this!

Getting Started (5 minutes)

Cricket Copilot helps you plan your entire season - planning, confirming availability, and running your training session - all in one place. Here's the fastest path from "just signed up" to "up and running".

1
Create your Workspace. Give it your club or school name (e.g. "Riverside Cricket Club"). Choose Club if you will work with other coaches from the same club/school, or Personal for a private setup.
2
Add your players. Head to Players and add each one. Use Bulk import to paste a CSV if you already have a squad list in a spreadsheet.
3
Plan your next session. Open the Planner, add the date, times and venue, then choose Share details and send the link in your WhatsApp / Messenger group to confirm numbers.
4
On the night, open Run Session. Everyone who confirmed "Yes" is already loaded. Set your nets or stations and start the timer.
5
Add notes after the session. Tap any player to record what you saw, what you said, what to work on, and to talk about next week.

Workspaces - Clubs/Schools vs Personal

A Workspace holds one club's players, sessions, and notes. You can belong to as many as you like — one per club, team, or age group.

  • Club Workspace - data stays with the club. Invite other coaches; if you move on, the club keeps the history.
  • Personal Workspace - just for you. Great for private academies or 1:1 coaching.
  • You can switch between Workspaces any time using the picker in the top-right.
  • Invite assistant or specialist coaches to your Workspaces using their email address.

Managing Players

A well-tagged squad is what makes net sessions smart. Two things to set on each player:

  • Player Type - Batter, Bowler, All-rounder, or Wicket-keeper.
  • Skill Level - 1st XI down to 6th XI, or Junior. This powers how the platform groups players by ability.

Bulk Import Tips:

  • One player per line: Name, Type, Skill
  • Example: Jane Smith, Batter, 1st XI
  • Blank fields are fine! All information is fully editable at any stage.

Sending Training Details

Training Details let players confirm attendance without needing an account. You share a single link; everyone uses the same page to confirm their RSVP.

1
Open Training Details and click New Event.
2
Set the Date, Time & Location. You decide which players to invite - you can invite a small group, or leave the invite list at "everyone" for a normal weekly session for the full squad.
3
Copy the shareable link and drop it into your team chat or send via email.
4
Players simply tap the link → select their name from the list → confirm I'm in or Can't make it.
5
Back in the platform, you'll see live counts of who's in, who's out, and who hasn't responded yet.

Splitting a session? You can add groups to the session in the Planner (staggered waves or parallel venues), then choose Split by Group. Each group gets its own link, time & location, and any RSVPs automatically carry across. When you start the training session, you can import the list of expected players with one tap.

Missing players? You can add them from the Squad tab and they'll appear on the training details page instantly.

Running a Training Session

This is the tool coaches love most. It replaces the whiteboard, the shouting, and the "who's next?" chaos.

1
Set your nets. Choose how many nets you have available, and how many batters and bowlers per net (max 9). Turn on Bowl in Pairs if bowlers work in twos (match simulation). Turn on Group Bowlers by Type to run dedicated pace and spin nets for a specific scenario — leave it off and every net faces a mix.
2
Start the timer. We'll rotate players fairly and group them by skill level automatically - better bowlers bowl to better batters where possible (Note: accuracy relies on the data provided for each player).
3
Someone late? Tap Add Late Arrival. We'll re-allocate the remaining time so no one gets short-changed.
4
Finish the session. A summary is saved to History - with each player's batting time and bowling rotations recorded automatically.

Planner - Your Season, Week by Week

The Planner is the home of everything you have scheduled. Think of it as your training diary: every session you create here flows through to Availability, Training Details, and Run Session on the night. You never have to type the same information twice.

Your First Session, Step-by-Step

1
Click New Session. Give it a title (e.g. "Tuesday seniors"), pick the date and enter the start and finish times. The finish time is what drives the timer and the fair-share batting maths later on.
2
Add the Venue. This is the ground or indoor centre you're using. It appears on the players' training details and pre-fills automatically when you start the session.
3
Sketch the Plan (optional). Add your stations or drills with rough minutes against each. It's a prompt for you on the night, not a commitment - you can change anything in this section.
4
Split Venues (optional). Depending on availability of facilities, you may have to split your squad across two venues to manage numbers more effectively. If required, select 'Add Venue' and enter the relevant details.
5
Split into Groups (optional). Like Split Venues, if you can't fit everyone in one venue at once, add groups (e.g. "6:00pm-7:00pm wave" and "7:00pm-8:00pm wave"). Each group gets its own time and venue, and a player can only sit in one group, so nobody is double-booked.
6
Send the Training Details. Open the session and choose Send Training Details. Copy the link & share with your squad via the relevant channel (email, WhatsApp etc). Players get one link showing the whole run-sheet - they find their name, see their group and time, and confirm (or can request a change).

Handy things to know:

  • Calendar or List View. Switch views at the top. The calendar is best for spotting clashes across squads.
  • Copy a Session. Most weeks look alike (i.e. Tues & Thurs in-season) - duplicate the session & change the date.
  • Colour & Labels. Tag sessions (e.g. Fielding, Match prep) so the calendar reads at a glance.
  • Bulk Upload. Planning a whole term? Paste your dates in one go using the CSV template on the Planner.
  • Auto-Complete. Once a session's finish time passes, it moves itself to Completed automatically. Nothing to tick off.

Availability - Who can make it?

Availability is designed to help coaches manage the bigger question - how many players can attend the sessions I've got planned? Ask once, then build & refine your groups based on real numbers, not guesswork.

1
Create a New Availability Request. In the Planner, open the Player availability panel and select 'New request', then choose a date range (for example the next four weeks). Every planned session inside that range is included automatically.
2
Share One Link. Send the link. Players tap the link, find their name, and mark each date Yes, No, or Maybe. No account, no app. Easy!
3
Watch the Responses Land. Each session shows a running count, so you know when you have enough players to start planning around. Export to CSV any time if you want it in a spreadsheet.
4
Build Your Groups. Back on the Planner, split the available players into groups or waves.
5
Confirm. Send the training details so everyone sees their final group, venue and time. If someone can't make their slot, they can request a move and you approve or decline it.

Rule of thumb: Availability asks "can you come?" weeks ahead. Training Details tells people "here's where you need to be" for one specific night.

Player Notes & AI-Powered Support

Every player has their own profile with a running list of notes - conversations, meetings, what you saw at training, and what to follow up on next week.

  • Open Players and tap a name to add an entry.
  • Notes can be typed or dictated - whatever your preference.
  • Flag a follow-up so it resurfaces before the next session.
  • The AI assistant suggests talking points and drills from your notes, so every player gets a positive, constructive conversation. The more data, the more refined the support.

Plans & Billing

  • 14-day free trial - every new Workspace gets full access for 14 days, no card required.
  • Individual Coach - one coach, a capped squad, notes, session plans and the AI assistant. Extra player packs can be added any time.
  • Club / School - unlimited players and multiple coach seats, with extra seats available per year.
  • Current prices live on the pricing page - that is the one place they are ever quoted.

Manage your subscription from the Billing & Seats page. Payments are handled by Stripe - we never see your card details.

Privacy & Safety

  • Your data lives in the Workspace you created it in. Other coaches only see it if you invite them.
  • Training Details links are unique and can be revoked at any time - handy if a link gets forwarded outside the group.
  • We never share player data with third parties.
  • When a coach leaves a club Workspace, their access is removed but the club's data stays intact.
